Position Description:
We are seeking a highly skilled and experienced Events & Marketing Coordinator to join our team. As the Events & Marketing Coordinator at Forge Institute, you will be the driving force behind our signature events, amplifying our presence through strategic marketing campaigns and cultivating robust partnerships. Your attention to detail, excellent content, strategic partners, and commitment will fortify our mission, ensuring Forge remains a beacon of excellence. This is a pivotal role within our organization, requiring meticulous attention to detail, excellent organizational skills, and a strong work ethic.
Key Responsibilities:
1. Event Coordination (Planning & Execution):
Lead the end-to-end planning and execution of virtual and in-person events ensuring alignment with our brand and objectives.
Handle all logistical elements, from venue sourcing to attendee management.
Collaborate with both internal and external partners, ensuring seamless coordination and event success, including exceeding sponsorship targets.
Utilize feedback and post-event evaluations to continuously elevate our event experiences.
2. Marketing:
Design and roll out our monthly newsletter, manage our digital footprint across various social media platforms, and implement effective campaigns that reflect our business aspirations.
Oversee the design and distribution of promotional materials, ensuring brand consistency across all touch points.
Work with other departments and teams to ensure quality and consistent branding and marketing.
3. Stakeholder Communication:
Foster, nurture, and expand relationships with partners, sponsors and vendors ensuring symbiotic collaboration and mutual growth. Sell sponsorships and tickets and build long-lasting relationships.
Serve as the primary liaison for all external communications pertaining to events and marketing.
4. Team Collaboration:
Partner with various departments to ensure that our marketing and event strategies are in tandem with overall company goals.
Actively engage in team brainstorming sessions, contributing insights and ideas to refine our strategies.
Minimum Required Qualifications:
Bachelor’s Degree or equivalent professional experience
Proven experience of a minimum of 2-5 years in event planning, marketing or operations
Be a Google Workspace (gmail, calendar, drive, slides, spreadsheets) whiz
Understand and regularly use Generative AI/LLMs to improve speed and efficiency
Maintain high-level of discretion, confidentiality and trust
Excellent written and oral communication skills
Strong team player with excellent interpersonal and communication skills
Ability to work effectively with cross-functional teams, partners, customers & users
Demonstrated integrity
Proactive and self-starter mentality
Very detailed oriented (ie. won’t let something out the door that isn’t ready)
Takes direction well
Preferred Qualifications:
Experience with General Ledger/Accounting systems like Quickbooks &/or DCAA
Experience with CRM platforms, such as Hubspot
Experience with Project Management (Agile/Scrum/etc.) & tools like Asana & Spreadsheets
Experience pulling together data and running reports
Strong storytelling skills
The ideal candidate is highly organized and can manage multiple projects and competing priorities at once
Professional client-facing demeanor, comfortable in front of any stakeholder
Capable of completing tasks on time without supervision
