Position Description:

The successful candidate will play a pivotal role in supporting the Division Leader and team members in a range of activities aimed at fostering innovation and entrepreneurship within the energy sector. This position requires a blend of project management, administrative, and compliance skills to effectively coordinate and deliver startup events, mentor training, and pre-accelerator curriculum. We are seeking a highly organized and detail-oriented Project Manager/Compliance Coordinator to join our dynamic team dedicated to building a best-in-class innovation program. The successful candidate will play a critical role in tracking project milestones, deliverables, and expenses, working closely with the Chief Financial Officer and Grants Manager. This role involves scheduling meetings, reserving spaces and rooms, managing logistics for events, providing administrative support, ensuring compliance, and developing Standard Operating Procedures (SOPs). The Project Manager/Compliance Coordinator will report directly to the Chief Innovation Officer and will be an integral part of our mission to foster innovation and excellence within our organization.

Key Responsibilities:

Event Organization and Coordination:

  • Assist in organizing, planning, and promoting various startup events, including workshops, networking events, and pitch sessions.

  • Coordinate logistics for events, including venue selection, catering, technology setup, and participant registration.

  • Schedule meetings, reserve spaces and rooms, and coordinate calendars for the innovation team. Ensure all logistical aspects are handled efficiently.

  • Manage logistics for internal and external events, including but not limited to venue selection, catering, transportation, and technology requirements.

Mentor Training and Curriculum Delivery: 

  • Support the development and implementation of mentor training programs to enhance the skills and effectiveness of mentors within the program

  • Assist in the delivery of pre-accelerator curriculum, ensuring a high-quality learning experience for program participants.

Budget Controls and Program Compliance:

  • Monitor and control program budgets, ensuring efficient utilization of resources and adherence to financial guidelines.

  • Ensure program activities comply with Department of Energy, CFR200, FAR, & DFAR and related policies and regulations, as well as any other applicable laws and standards.

  • Track and manage project milestones, deliverables, and expenses. Work closely with the CFO and Grants Manager to ensure projects are completed on time and within budget.

Scheduling and Document Management: 

  • Manage schedules for the Division Leader and team members, including coordinating meetings, travel arrangements, and event timelines.

  • Maintain and organize program documents, records, and reports for easy access and reference.

Program Logistics: 

  • Handle logistical aspects of the program, including coordinating with vendors, managing inventory, and ensuring the smooth operation of program activities.

Compliance and Reporting: 

  • Track compliance with internal policies and external regulations. Develop and maintain Standard Operating Procedures (SOPs) related to project and grant management. Prepare regular reports and updates for the Chief Innovation Officer.

Team Collaboration: 

  • Serve as a key member of the Innovation Team, contributing to the development and implementation of strategies to enhance the organization's innovation program.

Continuous Improvement: 

  • Identify opportunities for process improvement and contribute to the development of best practices in project and grant management.

Administrative Support: 

  • Provide comprehensive administrative support to the innovation team. This includes document preparation, data entry, and managing correspondence.

Other Duties: 

  • Provide general administrative support to the team, including drafting correspondence, managing emails, and handling phone inquiries.

  • Perform additional duties as required to support the success of the program and its initiatives.

This position may involve some travel within the State of Arkansas, and occasionally could involve travel outside the State of Arkansas. Furthermore, you must adhere to internal security policies and requirements.

Minimum Required Qualifications:

  • Bachelor's degree in Business Administration, Project Management, or a related field.

  • At least 3 years of experience in project management, administration, or a similar role, preferably in a government or energy-related setting.

  • Strong organizational and multitasking skills with a keen attention to detail.

  • Excellent communication and interpersonal abilities, with the ability to work effectively with team members at all levels of the organization.

  • Proficiency in Google Workspace, Microsoft Office Suite, and project management software.

  • Knowledge of budgeting, financial management, and compliance regulations.

  • Ability to work collaboratively in a team environment and independently with minimal supervision.

  • Demonstrated ability to manage multiple projects and priorities in a fast-paced environment.

  • Knowledge of grant management processes and compliance requirements is highly desirable.

  • Ability to think strategically and creatively to solve problems and enhance the innovation program.

Working Conditions:

This is a full-time position requiring occasional evening and weekend work to meet project deadlines and attend events.

The role may involve travel to attend meetings, conferences, and other events related to the organization's innovation program.
